For tour operators, trek leaders and trip organisers

Bill your clients.
Keep your margins.

Your spreadsheet works. It stops working the week two departures overlap and your vendor rates are one tab away from the client who asked for a copy. TripSynk bills each client separately, keeps your costs private, and shows the margin while the trip is still running.

Free. No host plan, no sign-up call, no verification.

One departure
6 clients × ₹25,000+₹1,50,000
Add-ons (ATV, pub night)+₹18,000
HiddenHotel (vendor rate)₹52,000
HiddenTransport₹21,000
Your profit₹95,000

Lines marked Just me (host) never reach a client’s phone. They see their bill; you see the whole picture.

The four things organisers ask first

Answered plainly, including the one where the answer is no.

“Another system to learn.”

It is a switch on your profile. No plan to pick, no sign-up call, no verification step. You can be running a hosted trip in the time it takes to read this page.

“I would have to retype my whole client book.”

You would not. Import the CSV or Excel file you already keep — TripSynk reads your columns and brings the leads in. It is the same file you have been maintaining.

“My clients will not install an app.”

For the itinerary they do not have to — you send a link and it opens in any browser, nothing to install. To see their own running bill, they do use the app and join with your trip code.

“Does it hold my money?”

No, and it never will. TripSynk records what each client owes and what they have paid. The money moves the way it already does — cash, bank transfer or UPI, direct to you. We are a ledger, not a payment gateway.

Hidden costs

Your vendor rate is nobody else’s business.

Mark any expense Just me (host) and it disappears for everyone except you. Not greyed out. Not rounded off. It never leaves our servers.

That is enforced by database permissions rather than by the app hiding a row, so it holds even for someone inspecting the app’s network traffic.

  • Everyone — shared costs the group is paying for
  • Only people in the split — sub-group spend, invisible to the rest
  • Just me — real cost, vendor commission, your margin
Your client sees
You see
  • Their package price
  • Their add-ons
  • What they have paid
  • Shared group expenses
  • All of that, per client
  • Every real cost
  • Outstanding per person
  • Profit for the departure

Clients never see each other’s balances either.

Per-client billing

Who paid, who owes, without asking around.

01

Set the package

Log what each client agreed to pay. Different prices per person are fine — a couple sharing a room, a friend who joined late.

02

Add extras as they happen

ATV ride, pub night, an upgraded room. Add it to that client's bill on the spot, before you forget who said yes.

03

Record payments as they land

Cash, transfer or UPI — money moves the way it already does. Log it and their balance updates instantly, on their phone too.

Getting started

Running by your next departure.

  1. 1
    Install and sign in
Phone number and a one-time code.

A switch on your profile. Free, instant.
  3. 3
    Create a hosted trip
    Pick Hosted instead of Personal.
  4. 4
    Share the code
    Clients join with six characters.
A worked example

Six clients at ₹25,000 each. Two take the ATV add-on at ₹3,000. Four have paid in full, one paid half, one has not paid yet.

You open the trip and see it straight away: ₹1,68,000 billed, ₹1,29,000 collected, ₹39,000 outstanding — and exactly who owes it. Your hotel and transport costs sit in the same trip, marked as yours alone, so the clients never see them.

No spreadsheet, and no second spreadsheet with the real numbers in it.

Straight answers

What exactly can clients not see?

Any expense you mark 'Just me (host)' never reaches a client's phone — not in their bill, not in the trip ledger, nowhere in the app. It is enforced by the database, not hidden in the interface, so it holds even if someone inspects the app's network traffic. Clients also cannot see each other's charges or balances.

Does it cost anything?

No. Host mode is a free toggle in your profile. There is no separate plan, no sign-up flow and no verification step.

Do my clients need to install anything?

Yes — clients use the same TripSynk app and join with your six-character trip code or share link. There is no separate client portal.

Can I collect payments through the app?

No. TripSynk records what each client owes and what they have paid, but money moves outside the app — cash, bank transfer or UPI as you already do. It is a ledger, not a payment gateway.

Can I bring my existing client list in?

Yes. Import a CSV or Excel file (.csv, .xlsx, .xls) and TripSynk reads your columns and creates the leads. You do not have to retype anything or match a template first.

Can I export an invoice or a statement?

Not today. You and your client can both see the running bill in the app, but there is no PDF or CSV export yet.

How is this different from a spreadsheet?

Your clients see their own bill update live, you see profit per departure without a second sheet, and nobody can accidentally open the tab with your vendor rates in it.

Try it on one departure.

If it does not save you an evening of spreadsheet work, go back to the spreadsheet. It is free either way.
